Where we handle data on behalf of a member (for example a member's own leads), the member is the controller and the Data Processing Schedule applies instead of this notice.
What we collect
- Details you give us: name, business name, role, email, phone number, and anything you write in a form, an email, a message or a call booking.

- Business contact details from other sources: for example LinkedIn, Companies House, introductions, or business data providers, where we think Monday Number may be relevant to your role.

AI tools
We use AI tools to help draft, summarise and analyse, including call notes and messages. The providers act as our processors. We do not sell your information, and we do not permit providers to use it to train their models where they offer that control.
Who we share it with
- Service providers who process it for us: website hosting (Amazon Web Services), email and documents (Google Workspace), payments (Stripe), messaging (WhatsApp, iMessage, Slack), call recording and transcription, AI model providers, analytics (Google Analytics 4), and our email sending provider.
- Our accountants and professional advisers.
- Other members, for what you choose to share in the community and in recorded group sessions.
- Authorities, where the law requires it.
- A buyer, if the business is sold or reorganised.
Transfers outside the UK
Some providers process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries and prospects: up to 2 years after our last contact, unless you ask us to stop sooner.
- Marketing: until you unsubscribe or object. We then keep your details on a suppression list so we do not contact you again.
- Members: for the membership and 6 years after it ends.
- Invoices and financial records: 6 years after the end of the financial year.
- Call recordings: up to 12 months after the membership ends.
- Analytics data: up to 14 months.
Your rights
You can ask us to: give you a copy of your information; correct it; delete it; restrict how we use it; move it to another provider; stop marketing to you; and you can object to processing based on legitimate interests. Where we rely on consent you can withdraw it at any time.
Email david@webstem.co.uk. We reply within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk, though we would like the chance to put it right first.
